Request for Proposal - Copyeditors We are looking for copy editors for the year 2024-25 who can help us in editing various collaterals, reports, articles, blogs etc. About WaterAid India: WaterAid India (WAI) is registered as Jal Seva Charitable Foundation (JSCF), a not-for-profit company under section 25 of the Companies Act, 1956, and is an associate member of WaterAid International. Across India, WAI’s presence is in 11 states, covering more than 40 districts. While JSCF’s goal is universal access to WASH, its work is prioritized from the locations of the excluded and most marginalized communities. JSCF works on themes such as drinking water security, sanitation, WASH in health and nutrition, WASH in schools, and Menstrual Hygiene Management, in rural areas and urban locations including census, small and medium towns. JSCF’s head office is located in New Delhi. Each state is managed through state offices. State offices are located in Lucknow, Patna, Raipur, Bhopal, Bhubaneshwar, Hyderabad, and Bengaluru. Apart from its programs, JSCF’s work also focuses on WASH policy and advocacy, both at national and state levels. Deliverables / Scope of work The overall editorial requirements will include the following for any documents, research papers, reports, online or offline publications: Languages: English, Hindi, Odiya, Kannada, Telugu, Marathi and Bengali Basic copyediting All changes to be made with track changes mode on. Check spellings for UK English, and in conformity with the WaterAid house style. Correct all grammar and punctuation maintaining consistency. Edit or prepare a table of contents. Spell out abbreviations the first time, retaining abbreviated forms from next instance. Italicize all regional Indian words. For instance, taluka and not taluk, &Tamil, and not sarpanch. Italicize all English words in a Hindi document. All SI units should be consistent and used appropriately conforming to the WaterAid Style Guide. Check that all proper names are right: cities, international conventions, conferences, non-governmental organizations, prominent individuals etc. Edit chapter titles, subheadings, table and figure legends for brevity, consistency, and check numbering. Check formatting of chapters, sections, subsections, paragraphs, lists (e.g. with bullet points) and table and figure captions for consistency. Check that references have been cited in the correct sequence. Ensure that WaterAid house style has been used for reference lists/bibliographies and that information for each reference is complete. Ensure all cross-references to chapters, sections, subsections, tables and figures are correct. Monitor paragraph length and content. Eliminate repetition of text, tables or figures and cut out redundant passages. Check for and eliminate or query prejudiced language. Adhere to WaterAid's verbal brand identity. Moderate copyediting: Everything under basic copy editing and Ensure the writing considers the target audience. Ensure all technical terms are used appropriately and standardized according to the WASH sector and WaterAid. Flag logical, factual errors. Flag gaps in research, If a document is legally sensitive, or politically biased, closely check if publication will be prejudicial to the best interests of WaterAid. Improve presentation and wording to ensure that the text is easy to access and understand. Check overall structure and suitability of headings. Simplify technical language, remove jargon to the extent possible, introduce definitions where needed. Shorten long, complicated sentences. Remove verbosity, pomposity, discriminatory language. Ensure no ambiguity exists in language or meaning. Remove all unnecessary and repetitive content. All titles and references cited should correspond to subject matter in text. Standardize citations, check footnotes as corresponding to citations. Presence and absence of references, eliminate extra references. Advise on selection, effective use of tables, illustrations, text boxes, footnotes, and annexures. Ensure they prove their point. Make presentation of similar data consistent. Check that all tables, figures, annexes are correctly cited in the text. Main text should correspond, and reflect information given in tables and figures. Simple mathematical calculations should be correct. Compile a list of queries (technical errors and ambiguities, inconsistencies and faulty logic) for the author as a separate list or embedded in the text using comments. For long or complex assignments, it is advisable to send a list of queries after editing each chapter or section, as appropriate. Revise the material to consider the author's responses to editorial queries. (Optional) Draft or edit a back-cover text (blurb), if applicable. Extensive editing - Everything under basic and moderate copy editing and – Check that all text flows logically, is balanced, and leave comments on how to rectify if required. Heavy rewriting, re-organizing, changing lengths of the text to improve logical structure or argument and make the document more effective, addressing readership. Write new text if needed. Suggest different ways of presenting material where required. Revise material to account for comments of reviewers and additional material supplied by the author.
