Hiring a photography agency to capture high quality images across Room to Read India States
Background
Room to Read India was established in 2003 and presently has programs in eleven states – Andhra Pradesh, Chhattisgarh, Delhi NCR, Jharkhand, Karnataka, Madhya Pradesh, Maharashtra, Rajasthan, Telangana, Uttarakhand, and Uttar Pradesh.
Room to Read is a global organization transforming the lives of millions of children in low-income communities by focusing on literacy and gender equality in education. Purpose
Room to Read India intends to engage an agency to capture high quality images from across its intervention states. To this, we are currently accepting proposals from credible individual photographers/ agencies that can travel across then states and capture images as per Room to Read India brief.
Scope of Work
The photographer/agency will capture 50-70 high quality images per state. It will be responsible for all steps of the photography including being present in the states as per the timelines shared by Room to Read India to processing the images.
Deliverables
70-80 high quality images for each state. Photography will be done across the ten states of Andhra Pradesh, Bihar, Chhattisgarh, Rajasthan, Delhi, Telangana, Madhya Pradesh, Karnataka, Uttarakhand, and Uttar Pradesh.
Geo tagging for specific location images will be needed.
Images need to be in line with the brief from Room to Read India (for example portrait images, group images of children, community Images). All images need to be action images.
The imagery should be positive in nature, depicting Room to Read’s values of Collaboration, Action, Respect, Education and Scale.
A good photo bank should be maintained for high priority donors.
All images should be handed over to Room to Read India in a good quality hard disk.
Experience
At least 5 years of photography experience, including fair experience of working with the development sector.
Access to high-quality photography, light, and other relevant equipment.
Presence across all the 10 Room to Read India states or ability to capture high quality images from across the 10 states as per the brief provided.
Professional experience in successfully delivering for a similar engagement would be an asset.
Duration/shooting date and place
The agency is expected to begin work immediately upon signing the contract. A detailed work plan, the blueprint of the shoot, and a timeline should be submitted as soon as possible. This should also include the budget and shooting schedule before the photo shoot.
The shoot will be conducted in 10 key Room to Read India intervention states.
Role of Room to Read India
Room to Read will be responsible for finalizing the location for the same. Room to Read India would also track and monitor the progress of the shoot.
Technical evaluation criteria
The technical proposals received will be evaluated on the following criteria:
Experience in working in the development sector.
Local presence across geographies
Technical competence
Understanding of the project

Requirements for Technical proposal
A technical proposal which will outline the way this assignment will be approached.
The proposal should mention the timeline for completing the deliverables. The technical proposal should include an outline of content and your approach for all the above-mentioned deliverables.

Requirements for Financial proposal
Detailed financial proposal as per TOR.
Copy of registration certificate, GST, PAN Card, etc.
Read the ToR thoroughly before applying.
Only Shortlisted agency will be contacted and might be called for a face-to-face interaction.
Any incomplete application or process deviation, the proposals will automatically be rejected.
Proposal received after the prescribed deadline will not be considered.
The selected consultant or agency must sign and adhere to Room to Read's Child Protection policy.
