Sealed Tenders are invited from the intending reputed Travel Agencies / four Operators or
private individuals who have valid GST Registration for providing the vehicle of required specifications
for "MOBILE VETERINARY UNIT" (MVU) along with rate of contract to be engaged in 4 blocks of
Gajapati district i.e. Gumma, Nuagada, R.Udayagiri & Rayagad block on monthly hired basis as per the
guideline of MVU for the year 2023-24. The sealed Tenders should reach to the undersigned on or
before dt. 18.10.2023 by 3.00PM. The tenders will be opened on as indicated below in presence of the
Bidder or their authorized representatives. The undersigned reserves all rights to reject or cancel any or
allTenders without mentioning any reason thereof.
The application form of tender containing General Bid Information & Term and conditions for
Hiring Vehicles etc. can be downloaded from Odisha Govt. website www.gaiapati.nic.in .
The selected bidder for engagement of Vehicle for Rayagad block will be allowed to engage
the vehicle from dt.01.12.2023.
Date of opening of Tender: - dt. 19.!0.2023 at 11.00 AM (opening date may be
shifted to any other date in unavoidable circumstances.
TERMS & CONDITIONS FOR HtRtNG OF VEHICLES

The following terms and conditions must be fulfilled by the successful bidder for providing a vehicle
on hire on monthly rent basis.
The vehicle to be hired is TUV300/ Bolero/ Sumo Gold/ Ertiga/Scorpio (the suitable one for MVU work
is to be preferred so that it should accommodate minimum three persons excluding driver with all need
based equipments). In view of the high pollution through use of Diesel vehicles, it is preferable to hire
BS-IV or BS-VI Compliant fuel vehicle bearing Odisha State Registration Number.
1. The hired vehicle, during period of contract must be in Road Worthy condition, shall not be more
than three years old from the date of initial registration and must have valid Registration Certificate,
Insurance Certificate, Fitness Certificate, valid Contract Carriage, proof of up to date Tax payment
etc. which are mandatory for engagement of vehicle. Valid Driving License. of the driver must be
available with him all the times. The Department/office hiring the vehicle shall not be responsible
for any damage/loss caused to hired vehicle oq losses of life/injury made to any person or damage to
any property on account of use of hired vehicle in any manner whatsoever. The vehicle owner shall
be responsible for all such litigation.
2. The Driver of the vehicle must have a valid Driving License for driving light transport passenger
vehicle and should be sufficiently experienced in driving transport passenger vehicle.
3. The Driver should be well behaved, gentle and obedient in nature. He should be non-alcoholic
4. A sum of Rs.5000/-(Rupees five thousand)onty shall be deposited by the intending bidders in shape
of Account Payee Bank Draft drawn in favour of the Chief District Veterinary Officer, Gajapati
payable at SBl, Main branch, Paralakhemundi and submitted along with the tender as security
deposit. After completion of tender process, the amount will be refunded to unsuccessful bidders.
5. The monthly rate of hiring charges is to be quoted in general bid information in Annexure-l
(Excluding fuel). The maximum allowed hiring charges should be equal to or less than Rs. 37,0001-
per month including GSf (As per FDOM no.30464/F dtd.06.09.201-9 & arrive at a lesser cost than the
maximum hiring charges prescribed.). The bid containing hiring charges over and above Rs.31,000/-
per month will be disqualified/ cancelled.
6. The vehicle must achieve a fuel efficiency of LOKms. per liter. 7. The details of the make and year of manufacture of the vehicle, Registration No., Mileage (Kms.
covered per liter) and name of the Driver with Driving License No. and period of validity should be
specifically provided in the general bid information to be furnished with the euotation/Tender
(Annexure-t)
8. The Bidder will apply separate bid for each block.
9. The MVU vehicle should remain in the VD/VH campus but in case of security reasons the CDVS may
allow the MVU vehicle to stay in the He village/town but fuel cost for movement of vehicle to from
that place to VD campus will be borne by vehicle owner, In no circumstance vehicle will be allowed
to remain outside He village/town areas,
10. Vehicle should be kept clean and tidy condition and should have clearly visible registration number
in the vehicle.
L1. The hire charges to be paid for monthly basis is final but does not include cost of fuel, which is to be paid separately basing on actual consumption as per existing Government norms. All the
expenditure of the vehicle towards repair, replacement of spare parts, Lubricating oil of Engine,
Gear Box & differential Coolant, Tyres & Tubes, Battery etc. will be borne by the bidder.
12' lt shall be the responsibility of the bidder to provide a good driver and the salary of the driver shall
be borne by the owner.
L3. Vehicle should be regularly serviced and kept under'optimum running condition so as to avoid any
breakdown and accidents attribute to lack of maintenance and upkeep. In case of breakdown for
reasons whatsoever the replacement of a vehicle of the same or better model shall be provided by
the owner/ bidder of the vehicle without compromising the services of Mobile Veter |
